We realize there are several tasks in the eRegistration system that are done by leaders that sometimes need a step-by-step procedure to make them more user-friendly. Why did the council establish online registration?

GSCI is dedicated to improving service to our membership. This system will allow us to improve the way we work and update our technology. This system will allow users to take information from many sources and bring it all together in one place, allowing the council to have a complete view of each member. That means each member’s membership registration history, event participations, training completion, and recognitions will be in one place that allows for more comprehensive member support.

Who can use online registration?

All adults and girls who are currently registered members, as well as parents/guardians may use online registration. Also, the eRegistration accepts new member registrations. If you are a troop leader and want to add a new girl or adult volunteer, you can add them through the Troop Management section of eRegistration.

If you are interested in becoming a new member of Girl Scouting, you can register online at our eRegistration site. Simply follow the steps for becoming a new member.

What kinds of transactions can I do online?

Troop leaders and/or parents/guardians have access to membership new and renewal, event and camp registration, adult training registration, and donations to the council.

What kinds of transactions cannot be done with the online registration system

At this time, registration of new troops, new lifetime memberships for girls and adults, members requesting financial assistance, free membership earned through product sales, and registrations that will be paid by cash, check, Cookie Dough, or financial assistance must still be submitted in paper forms to the service centers.

What kinds of transactions must be done by the council for online registration?

New lifetime memberships (adults and girls) must be processed by the council and submitted in paper form.

Girls wishing to transfer to another troop must be done by the council. A change of membership form with the current troop and new troop information must be submitted to the council to be processed.

New troops must complete membership and dues summary forms and submit to the service center for processing by the council.

How do I activate my account?

Your account is activated with your email address or your current Girl Scout membership identification number (this number is on your Girl Scout membership card). Click the eReg tab at the top of our website page, and you will be directed to a secure registration site.

To activate your account, GSCI must have your email address in our database or you must know your current Girl Scout membership identification number. If your email address is not valid in our system, or you do not know your membership ID, an error message will appear. If this happens, please contact our Help Desk at 888-623-1237 or email us at helpdesk@girlscouts-gsci.org for assistance. If you are registering as a new member, simply follow the instructions for new membership.

Once we have your email address in our system or you know your Girl Scout membership ID, you will be able to proceed with online registration.

Why does the council need my email address?

Your email address will act as your user verification for the online registration system. Once you have activated your account, you will create a username and password that will be used in future online registrations.

Troop leaders will be able to communicate with their troop members via email through their access to troop management. The council will be able to send information confirming event/camp registration, upcoming event information, and news via email.

In an effort to “go green” the council is looking for more environmentally friendly ways to communicate with members. Girl Scouts of Central Illinois is committed to respecting the privacy of its members. We do not sell or trade membership lists, contact information, or any other data about our members for any reason.

What if I do not have an email account?

You may activate your account with your Girl Scout membership identification number (this number is on your Girl Scout membership card). With this online registration system, you will need your Girl Scout membership identification number or an email to activate your account.

If you do not have an email address, we ask that you establish one. Many email providers, such as Yahoo and Google, offer free accounts that are accessible by any computer. This new system allows us to manage your Girl Scout account more efficiently and send email confirmations and notices to you.

Once you have established an email, please contact our help line at 888-623-1237 or email us at helpdesk@girlscouts-gsci.org. We will put your email address into the system and activate your account.

What do I do once I activate my account?

Once your account is activated you have several options as a leader, volunteer, or parent/guardian.

If you are the leader of a troop you may re-register your girls’ memberships, register any or all girls for a council-sponsored event, activity, or summer camp, and register for adult development trainings.

When you re-register a troop, we ask that you update and complete all the contact and demographic information for each girl and adult in the troop.

If you are a parent/guardian you may re-register your girl’s membership, as well as register for an event, activity, or summer camp. At the time of first login, we ask that you update and complete all the contact and demographic information for the girl you are re-registering. This helps us maintain current records of our members.

As a parent/guardian, what if I have more than one Girl Scout? Is a separate login required for each girl?

If you have more than one Girl Scout in your family, you must set up a unique and separate username for each Girl Scout member.

Only troop leaders have the capability to see multiple members – their troop members – through online troop management

What are the benefits for troop leaders in using online registration and troop management?

Troop leaders will have the ability to re-register their troop(s) online, add new members to their troop, manage their troop members’ contact information, email troop members and parents, create and print troop rosters, and register the troop and individual girls in the troop for council-sponsored events and activities. They may also register for adult trainings.

Leaders have access only to their troop information. They can see each individual’s registration status and the information that is contained on a member registration form only: contact information, grade, school, age, Girl Scout history, custodial care, and racial/ethnic background. The leader does not have access to any orders processed by a parent/guardian.

What are the benefits for the parent/guardian in using online registration?

Online registration is quick, easy, and convenient. Credit and debit card information is processed in a secure transaction. It provides the council with accurate spelling and contact information. It helps reduce paper use and mailing costs and is more environmentally friendly.

What are the benefits for troop leaders when registration is done online by parent/guardian?

When a parent/guardian takes advantage of online registration, the leader does not have to collect forms or money from parents, deliver the forms to the service center, or complete the dues summary.

Troop leaders will have access to troop information and will be able to email parents, print rosters, and update troop member contact information and meeting information, all from the troop management access.

A girl in my troop wants to re-register to another troop. What do I do?

Transfers to another troop must be transacted by the council. You may re-register her in your troop, complete the troop transfer form, and submit the form to the service center. Once we receive the transfer information we will make the transfer in the system.

Is a parent/guardian signature required for online registration?

No. A parent/guardian online purchase of a Girl Scout membership or registration for an event replaces the need for a signature. Additionally, the permission from the parent/guardian to the leader for membership registration or event registration replaces the need for a signature.

Who will have access to girl, adult, and parent/guardian information?

Parents/guardians will only have access to their girls’ information.

Registered adults will only have access to their personal information.

Troop leaders will only have access to information about troop members registered in their troop. Troop leaders who lead more than one troop will be able to access all troops they lead, although not at the same time.

Can a girl activate her account and register online?

A parent or guardian must activate a girl’s account.

Can a non-Girl Scout register online to become a member?

Yes. Our eRegistration now accepts new memberships. If you wish to become a member of Girl Scouts of Central Illinois you will need to create a profile and register as a new member.

To become a new member you will have to create a profile. Becoming a new member means that you have NEVER been registered with Girl Scouts of Central Illinois. If you are not sure, please contact our help desk for assistance at 888-623-1237 or email us at helpdesk@girlscouts-gsci.org.

If I use the online system, what do I do with my membership paperwork?

As a leader you should keep your troop members’ membership and event registrations on file. As a parent/guardian you should give any Girl Scout paperwork relating to your girl’s membership and event registration to the troop leader.

Who can register girls/adults for programs and events?

Troop leaders may register their troop(s) as well as individual girls for programs and events. A girl’s parent/guardian may register her for programs and events.

Why is it important that I re-register the girls/adults in my troop by September 30th?

Because our Girl Scout year runs from October 1 to September 30, this system recognizes members who have re-registered by September 30. If girls and adults are not registered by September 30 the system locks them out. If for some reason you are not able to register by this date, you must contact the help line in order to get back in the system.

It is important that leaders register their girls and adults by this date. If your troop has any stragglers in re-registering, don’t wait for them. Register your members before this date. You can always go back and add late re-registrations.

What happens if I do not have all registrations from girls by September 30th?

Re-register the members who have turned in their memberships to you. It is best to get them all in by September 30th. If you are unable to do so, we can assist you with additions through the help line.

What happens if I have a girl/adult that needs financial assistance with their membership fee? Can I do this online?

For both girls and adults who need financial assistance, we must do this re-registration through the council. At this time the system is not set up to accept financial assistance.

The members must fill out paper registration forms as well as the financial assistance form. This paperwork must be taken to the service center and processed.

Can I use Cookie Dough for online registration?

At this time Cookie Dough cannot be used for online registration. If you wish to pay for membership with Cookie Dough you will have to complete and submit the form(s) to a Girl Scout service center.

If you wish to pay for camp or an event with Cookie Dough, complete and submit the necessary form(s) to the Champaign Service Center. As a courtesy we will accept registration forms at any Girl Scout service center, but at the end of the business day these will be mailed to the Champaign Service Center. To ensure that your registration is received quickly we recommend mailing it directly to the Champaign Service Center. Registrations will be accepted on a first come, first served basis as they are received at the Champaign Service Center or online.

If I have a girl that has earned free membership, how do I handle this online?

If a girl has earned free membership through product sales, she may not re-register her membership online. The membership form must be completed and returned to the service center.

Can I make a donation to the council online?

Yes, we will gladly accept donations online to support Girl Scouts of Central Illinois.

How do I register if I do not want to do it online?

If you do not wish to participate in the online system, you may complete the paper membership registration form and return it with the membership fee to your service center. You may also use paper registrations for events, activities, summer camp, and adult training. Complete and submit the necessary form(s) to the Champaign Service Center, along with any necessary fees.

As a courtesy we will accept registration forms for membership, events and activities, and adult development trainings at any Girl Scout service center, but at the end of the business day they will be mailed to the Champaign Service Center. To ensure that your registration is received quickly we recommend mailing it directly to the Champaign Service Center. Registrations will be accepted on a first come, first served basis as they are received at the Champaign Service Center.

What happens if I need help with online registration?

What security measures are in place for online transactions?

The safety and security of your online experience is important to us. We assure you that the appropriate physical, electronic, and managerial procedures are in place to safeguard and help prevent unauthorized access, maintain data security, and correctly use the information we collect online.
